ad 1. "Statement on the Use of a Private motor Vehicle during a Business Trip" and "Consent of the Vehicle Owner" - ONLINE

  • You can now fill in this form online (Requests - Others - Consent of the use of private motor vehicle). If you have filled in your vehicle details, driving licence number, or date of medical examination for drivers over 65 years of age, and completed the mandatory driver training in Albina in the personal information, the data will automatically be filled in the form. If you haven't already saved this data in Albina, you can fill it in the form straight away and it will automatically be saved in your personal information too.
  • If you are not the owner of the vehicle (or spouse), fill in the owner's name and a "Consent of the Vehicle Owner" document will automatically be created for you to print and have signed. Scan the signed document and add it as an attachment to this form.
  • You can save the completed form or submit it for approval.
  • You do not need to print the approved document. The economic department will look it up in the system and attach it to your travel documentation.
  • You can also save the form as a PDF.

ad 2. Change of owner of the request

  • Now you can create a request (order to supply, library, production) in Albina for another employee and forward it to him. The target owner of the request will then check it, edit it if necessary and send it for approval. The target owner (sending for approval) will be listed as the requester on the request. The person who created the request will not be listed in the approval history and will not have it listed in their own requests.
  • When creating a request, instead of submitting it for approval, click on "Owner editing", select the employee's name and the request will automatically be sent to them and saved to the "Employee Requests" list in the "saved" status. From there, he can open it and either send it directly for approval or edit it (e.g. fill in a grant) and then send it.

The target owner of the request will also have it displayed on the Albina Dashboard under "Work in progress"

  • When you create a request for someone, you may not have access to their grants. In that case, fill in "Not selected" in the "Grant" field and whoever you forward the request to will complete the grant before sending it for approval. If he/she does not change the "Not selected", the system will notify him/her that the grant is not completed.

  • The owner of the request can be changed not only when creating the request, but also in the details of the already created and saved request.

ad 3. Reports - orders lookup

  • Searches all orders where the logged in user is a requester or a grantee. The resulting table displays the search items, supplier, year, order number and detail, which when clicked displays the order that can be further used (copied and then sent for approval or saved and edited)
  • If From Year and To Year are not filled in, it will only search for orders for the current year. If only From Year is entered it searches from the current year to the present, if only To Year is entered it searches from the beginning to the entered year.
  • Note: The less specific the search is and for a large period, the longer the search will take.

ad 4. Phone Book

  • the phone line is highlighted
  • the employee is in phone book listed only once and after clicking on his/her name other information is displayed (photo, all phone numbers and their location - office/laboratory)
